Job Overview And Responsibility

We are a leading Chinese in-vitro diagnostics (IVD) manufacturer with a global presence in over 100 countries. To support our expanding operations in Vietnam, we are seeking a highly organized and proactive Office/General Manager Assistant to provide comprehensive administrative and operational support to our local team. The role will be primarily based in Ho Chi Minh City, with 1-2 trips per year (approx. 1 month per visit) to our headquarters in Wuxi, China for training, meetings, and cross-team collaboration. The ideal candidate should be fluent in both Vietnamese and English, possess strong multitasking abilities, and have experience in cross-cultural business environments. Key Responsibilities Administrative Support: - Manage the General Manager’s calendar, schedule meetings, and coordinate travel arrangements (including international trips). - Prepare and edit reports, presentations, and correspondence. - Maintain office filing systems and ensure efficient documentation. Business Operations Assistance: - Assist in liaising with local authorities, partners, and clients. - Support market research, data collection, and business development activities. - Help coordinate logistics for product registration, shipments, and local compliance. Communication & Coordination: - Serve as a bridge between the Vietnam office and headquarters in China. - Handle internal and external communications professionally. - Facilitate smooth collaboration with HR, finance, and other departments. Travel & HQ Coordination: - Prepare logistics for the GM’s and team’s business trips. - Accompany the GM on occasional visits to China (1-2 times per year, ~1 month per trip). - Assist in coordinating meetings and training sessions at HQ.

Required Skills and Experience

- Education: Bachelor’s degree in Business Administration, International Trade, or related fields. - Age: below 26 years old. Experience: - 2+ years in an executive assistant, office management, or similar role. - Experience in medical devices, IVD, or healthcare industry is a plus. - Familiarity with Vietnam’s business regulations and labor laws preferred. - Language: Fluent in Vietnamese and Chinese. Skills: - Excellent organizational and time-management skills. - Proficient in MS Office (Word, Excel, PowerPoint) and email tools. - Strong interpersonal skills and cultural sensitivity. - Ability to work independently and under pressure. - Willingness to travel internationally (1-2 times per year to China).
