Job Overview And Responsibility

- Monitor tender websites (e.g. Gebiz, Tenderboard, Sesami, Ariba, etc), download and distribute tender notices, documents, corrigendums, clarifications and other related documents - Register bid team for tender briefing - Maintain knowledge base and libraries of sales materials, track records, success stories, corporate literature, financial statements, standard questionnaires and proposal templates - Establish bid team communication channel and file collaboration platform - Support in bid review timelines and monitor the bid team progress - Co-ordinate tender meetings, book rooms, setup virtual calls, clarifications, minutes taking, and follow-up on action items - Create, coordinate and compile document and spreadsheet for tender proposal documents - Co-ordinate with Legal office on tender compliance and handle legal waivers to senior management - Support pricing for tender submission - Facilitate the production of finance related documents, authorisation letters and legalised documents necessary for submission - Constant review on bid response process, governance, as well as identifying ways to improve the quality, consistency and efficiency of the bid response process - Co-ordinate client site visits - Co-ordinate and manage guest list for the company events like Airshow.

Required Skills and Experience

- Bachelor’s degree in related field - Minimum of 2 years of proven experience in a Bid/Tender coordination or similar position. - Fluent English communication skills (written, verbal, and presentation) - Familiarity with various tender platforms (Gebiz, Tenderboard, Sesami, Ariba, etc.) - Demonstrated ability to manage multiple projects and deadlines in a fast-paced environment. - Exceptional organizational skills and attention to detail. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with collaboration platforms. - Strong interpersonal skills with the ability to effectively coordinate and communicate with diverse teams (sales, legal, finance, technical). - Ability to maintain confidentiality and handle sensitive information with discretion.
