Assistant Administrative task Assistant
Reporting to the General Director, the Executive Assistant (EA) is responsible for assisting with the implementation of the Group's projects throughout Vietnam. The EA will oversee that project milestones and commercial controls are achieved, assisting with effective planning, including programming, phasing, procurement, logistics, staging, quality, cost, time control, and the execution of projects at an international standard level. Customer-centric, the EA will ensure that delivery of each project meets the standards in which the product was sold, and the company and stakeholders’ business and financial objectives are met. The EA coordinates the efforts of all parties involved in the project, which include the consultants, contractors, subcontractors, staff, and workpeople, and reports all issues and challenges as they arise to the General Director Key Points • Oversight of the Project • Liaising with Project Managers • Liaising with consultants, government, and rail departments • Tracking project costs & schedule • Assisting with Quality control • Staging & logistics • Variation control • Reporting • Handover inspections EA Responsibilities • Follow up on schedules and budgets for assigned projects with Project Managers and consultants on behalf of the General Director • Follow up on phasing and staging plans with the General Director. • Assists the team members in obtaining governmental approvals. Explanation of project scope and the associated costs, as required, is part of this process. • Coordinates with consultants, contractors, and other outside vendors as they pertain to the delivery of the projects. • Monitors projects are being completed within budgets and financial objectives • Monitors the program/schedule of projects and project managers within Vietnam to ensure successful project completion and coordination of all consultants and contractors. • Monitors the project and construction management team, including architects, engineers, logistics, procurement, quality and cost control, programming, workplace consultants, and administrative support. • Works cooperatively with and ensures each project manager works with the appropriate project and construction management companies to develop overall program scope, strategy, and requirements. • Liaise with the different stakeholders of the project (clients, contractors, local authorities, etc.) • Work with designers, development, and property management. • Monitors progress on all aspects of project(s) and delivers reports to the General Director
• At least two years of experience in relevant roles • Excellent command of the English language, • Experience in MS Office • A positive attitude and excellent communication skills
